Have you ever felt a need for something more…streamlined? At Pegasus, we continuously innovate to make our agency management software the most comprehensive solution. Discover how our integration with Float will redefine your project management experience.

Why Float?

Float is not just another tool —it’s a game-changer in resource management. They have expertise in planning projects and managing time for over 4,500 teams. Think real-time project planning, seamless task assignments, and instant budget monitoring.

How do you use Float and Pegasus for resource management?

Managing a project successfully requires the right tools and clear directions. Teaming up with Float allows agencies to streamline data management and eliminate double-entry. With it, you get real-time insights into team performance and the ability to monitor project progress. Plus, anticipate results through instant reports, efficient scheduling, and in-depth data analysis, ensuring everything runs smoothly from start to finish.

Float Implementation

Our strategy? We make things smooth and nimble. We’re here to assist you with moving bulk data like client details, team records, time off, and work entries for current projects and estimates.

The most significant advantage of using Float is that you are in charge. You can decide where the information should be placed, ensuring that data migration is quick and effortless.

Security is at the core of our business. The integration is built using encrypted data transfer between the two systems. This protects you and your data, giving you peace of mind.

How the Integration Works

Our system gives you control when you need it and automates data when you don’t want to double-handle information. After selecting which jobs get resourced in Float, estimated hours and timesheets flow automatically between the two systems. With reporting tools available in both systems, you can ensure Float always reconciles back to Pegasus.

Key Features at Your Fingertips

Our Pegasus-Float integration brings a wealth of features to supercharge your project planning:

  1. Resource Scheduling. Say goodbye to time-consuming manual schedules. Float's user-friendly platform allows for efficient resource allocation and scheduling.

  2. Time Tracking. Maintain an accurate record of your team's time spent on tasks, from Float to Pegasus, without breaking a sweat.

  3. Capacity Management. Determine your team's workload and manage their capacity, including leave considerations, with just a few clicks.

  4. Multi-Project Planning. Handle multiple projects with ease and efficiency.

  5. Forecasting & Reports. Generate real-time reports, track project progress, and forecast accurately to predict project success and improve utilisation.

Approvals workflow in Float. The schedule above (under Art Director and Copywriter) is the resource requests screen, and below (for Jane Jones and John Smith) is the confirmed allocations.

Maximising Efficiency with Synchronisation and Integration

When connecting Float and Pegasus, we prioritise Pegasus as the primary source of information. Data is sent from Pegasus and brought into Float. The only exception is for timesheets that go in the other direction, created by users against their assigned tasks in Float.

Here’s a snapshot of the data that Pegasus and Float are sharing:

  • Staff members. Referred to as “People” for Float.

  • Leave details. Including types and approved leave under the “Time-off” category in Float.

  • Timesheets. Enabling the real-time tracking of work hours.

  • Clients. Ensuring client information is updated and consistent.

  • Jobs. Also known as “Projects” in Float.

  • Estimates. Create “Phases” in Float.

This way, we’ve created a smooth and streamlined data flow by ensuring data is pulled from Pegasus and pushed into Float. Our goal is to provide an efficient and comprehensive solution, ensuring that your projects run smoothly and that you have all the essential data at your fingertips.

Pegasus-Float Integration: What You Need to Know

This integration goes beyond just scheduling your team and jobs. In this section, we’ll showcase its main functions and capabilities. You’ll get a comprehensive business solution with a range of resource management features:

  1. Manage Your Data. In Pegasus, you can add, edit, or delete staff, clients, and job information.

  2. Push to Float: Once you've made your edits in Pegasus, the system pushes these details to Float. This ensures both systems have the same updated information.

  3. Set Up Estimates. Create job estimates in Pegasus Edge, which Float organises based on cost centres. Think of these as “phases” within Float.

  4. Log Timesheets in Float. After assigning tasks, users can log their hours in Float for efficient time-tracking.

  5. Sync Timesheets Back to Pegasus. Timesheets logged in Float automatically sync with corresponding jobs in Pegasus, eliminating manual processing.
