Pegasus Systems has appointed Anne Krupski as Client Services Director - Australia to support continued strong growth in Australia and international markets.
According to Pegasus Systems Managing Director, Les Parry, the company is experiencing significant growth in demand for its hosted system for advertising, creative and professional services agencies.
"Our growth is being fuelled by agencies that recognise the benefits of one system for all aspects of job management, a full financial system tracking everything and reporting in real-time," said Parry.
"Anne's extensive experience working with and supporting agencies will be a great addition to the Pegasus team and a significant benefit to our clients," he said.
As Client Services Director - Australia, Krupski is responsible for managing clear and consistent communication between Pegasus' clients and Pegasus support and development staff, and the coordination and delivery of all client support and training requirements.
Prior to joining Pegasus, Krupski spent 18 years at BCC Adsystems in finance and senior account director roles. During this time Krupski led the Australian support team as well as managing large and small implementations, training and consulting for BCC's Enterprise system. Krupski's prior experience includes three years at DDB Worldwide in production finance and ten years as finance manager at Film Graphics.

"It was like waking from a never ending spreadsheet nightmare.""Before migrating to the Pegasus advertising agency system, our finance department spent inordinate amounts of time in spreadsheets - even for simple things," stated Nick Hand, Finance Director at McCann Worldgroup in Australia.

Never looked back
After four years of lobbying head office, extensive due diligence and rigorous testing, Hand was granted approval to move off the legacy system to Australasian based Pegasus Systems."And we've never looked back," said Hand.
"Not only do we rarely touch spreadsheets now but we have a clear, consistent and accessible view of the business in real-time. The finance department is more efficient and the rest of the agency is more effective and responsive to client requests," claimed Hand.

Hand and his team undertook a full assessment of the system vendors in Australia based on an in-depth internal review, a stakeholder wish list and detailed compliance requirements. During the subsequent RFI process, the Pegasus system stood out for its range of functions from a single sign-on, its flexibility and its ease of use.

Painless transition
"Historic data from day one makes the move to Pegasus pretty seamless. We didn't need to parallel run old and new systems to view or query the whole financial year or produce year-on-year comparisons. The Pegasus team transferred all the data and detail we needed so we could look at historic jobs and use that information in current jobs as needed - the transition process was painless," stated Hand.Painless and fast. The data migration was undertaken over a single weekend with the 100-strong McCann workforce walking into the new system on Monday morning and being effective by lunchtime. Agency staff now have the ability to manage their own projects with finance providing an oversight rather than an active process role.
"There was no resistance to the new system from staff because the old system was so woefully inadequate," stated Hand. "Users in the business now have anywhere access to better information that in turn helps deliver better client service and support."

The hosted system is easier to manage and simple to access from any location - it's easy and seamless."Migrating the recently acquired Smart operation onto the Pegasus System has been as straight-forward as the original agency migration, but this time converting FileMaker and MYOB databases. Sixty additional staff were seamlessly added to the system overnight with access to historic and current information. The bulk of work in progress is now in Pegasus without the need for any downtime or manual alignment.

BMF Advertising was in a position where the current agency management software was no longer being supported and at the same time the growth of the business both in size and breadth was demanding a better way to use software to manage workflow and overall business management, as well as serving Finance needs.
The key to the decision was that any new system would need to be intuitive enough to be adopted and used by many different roles within the agency, as well as having the ability to work with other software partners for "best-of-breed" results. After 18 months of reviewing options, including packages designed for other professional services industries, the shortlist was down to two providers. A final in-depth review was done on these two offerings and the decision was made to go to Pegasus. With over 200 staff and 16 years of history to be converted it was vital that the solution could be implemented with minimum disruption and with relevant and accurate historical data brought across.
Prior to rollover the Pegasus team was very proactive in understanding our existing practices to help design templates for production, structures within client set ups and reports.
The actual rollover process was very straightforward with the system going live on one day with no parallel run and no lost data having to be entered. The process was as simple as creating flat files from our existing system and letting Pegasus roll the data in. We worked together to reconcile all aspects of the data including financial results, WIP balances, debtors, job balances etc with Pegasus, and any minor anomalies were resolved on go live day.
The first week the system was live Pegasus dedicated resources on site for training the entire office of over 200 staff, in a program that was geared toward the different roles. This training program had been devised prior to roll over day working with agency management to determine what was the minimum level required to help staff be up and running and able to do their jobs from day one. It was agreed that the initial stages would be "business as usual" with an ongoing plan to introduce the new features of the system over time as the users became more familiar with how it worked. For those that needed more, such as senior management and production, the new features that Pegasus offered were included in training. The overall rollover was very simple and thorough and meant that from day one all staff were able to enter time, see job details, raise estimates and PO's and view financial information easily. There was no delay in producing invoices, paying suppliers, raising estimates or any vital financial processes. The benefits that Pegasus offered from a traffic and workflow management perspective were rolled out gradually to relevant users and the system quickly became seen as invaluable to all staff.
Since implementation Pegasus have demonstrated a willingness to work with the agency and adapt their system to our needs, without reducing the financial integrity of the product. Their ability to work with other suppliers and adapt the fields and user interface has given senior management comfort in the system being "future proof" and will grow and develop with us.
Having Pegasus has simplified management of a job throughout the agency and provided an intuitive and simple interface for all staff to take responsibility for the financial performance of the agency.

Michelle Marshall, known to almost all New Zealand advertising and Media agencies is returning to Pegasus after a 2 year break.
Michelle has been out and about experiencing Pegasus from 'the other side' and will return not only with her great knowledge of the system from working with us for 14 years but also as a client, understanding and providing feedback in that capacity.
Her primary focus in her new role is Media, developing the workbook and improving our offering to NZ clients, and also researching and developing the product for the Australian market, strengthening our complete product range and emerging as the clear market leader in both Production and Media systems across the region.
Michelle will be based in the Auckland office, however we anticipate at least 50% of her time will be spent in the Sydney office in the new year.
